Two things cost money while a seat stays open: the recruiter hours spent chasing drivers, and the truck that is not moving. This calculator asks for your own numbers — hires per month, days to fill, revenue per truck per day, and the margin left after fuel and driver pay — and works out the annual figure.
The default cost per hire is deliberately conservative. For scale, UGPTI's study of 1998 carrier data put the FULL cost of replacing a driver at $8,234, ranging from $2,243 to $20,729 — but that figure is a superset which also counts the idle truck this page works out separately, and it is old, so treat it as a ceiling rather than a benchmark. The default margin follows ATRI's operating-cost analysis, which puts fuel, wages, benefits, maintenance and tires at about $1.78 of every mile. Both are starting points, not claims about your fleet — replace them with your own.
